1. Who we are

Tracks IT Engine Inspect ("we", "us") is the data controller for marketing-site visitors and the data processor for customer accounts. Contact: privacy@enginetracksit.com.

2. What we collect

  • Account data: name, email, role, company.
  • Inspection data: asset records, photos, voice notes, fault codes, signatures.
  • Usage telemetry: page views, feature usage, error logs (no third-party advertising trackers).
  • Cookies: strictly necessary + optional analytics (see cookie banner).

3. Why we process it

To deliver the Service, secure your account, generate inspection reports, run AI analysis you request, send transactional emails, and meet legal obligations.

4. AI processing

When you use AI features (photo analysis, fault-code interpreter, decision agent), the relevant inputs (an inspection photo or fault code, plus minimal context) are sent to our AI provider (Google Gemini, via the Lovable AI gateway) on a zero-retention basis. No model is trained on your data.

5. Sharing

We share data only with sub-processors required to operate the Service. See the DPA for the current list. We never sell your data.

6. Retention

Account data is kept while your subscription is active and for 30 days after termination. You can export or delete data at any time from Settings → Danger Zone.

7. Your rights

If you are in the EU/UK, you have rights to access, rectification, erasure, restriction, portability, and objection. Email privacy@enginetracksit.com to exercise them.

8. Security

Encryption in transit (TLS 1.2+) and at rest (AES-256). Row-level isolation in our database. Detailed posture on the Trust page.

9. Data location

Primary region: EU (Ireland). Backups: encrypted, same region. We do not transfer personal data outside the EEA without appropriate safeguards (SCCs).

10. Children

The Service is not intended for users under 16.
